JOB PURPOSE

The Purchasing /Procurement Specialist is responsible for overseeing and managing all procurement activities for International College. This role ensures the timely, cost-effective, and compliant acquisition of goods and services necessary for the school’s academic and operational needs, while maintaining high standards of quality and ethical purchasing practices.

JOB RESPONSIBILITIES

* Manage and oversee all purchasing and procurement activities for the school, including educational materials, supplies, equipment, services, and facilities-related needs.
* Develop and implement purchasing policies, procedures, and controls in alignment with the school’s budget and strategic goals.
* Identify, evaluate, negotiate, and manage relationships with suppliers and service providers.
* Ensure competitive pricing, quality standards, and timely delivery of all purchases.
* Prepare and manage purchase orders, contracts, and vendor agreements.
* Monitor inventory levels and coordinate with relevant departments to anticipate needs and avoid shortages or excess stock.
* Collaborate with academic, administrative, and facilities teams to understand and support operational requirements.
* Ensure compliance with internal policies, contractual obligations, and applicable regulations.
* Analyze purchasing data and prepare reports on costs, savings, and supplier performance.
* Support budget planning and cost-control initiatives.
* Coordinate and manage international purchases and import processes, including documentation, customs clearance, duties, taxes, and compliance with local and international regulations.
* Liaise with freight forwarders, customs brokers, and logistics providers to ensure timely and cost-effective delivery of imported goods.
* Ensure all import-related documentation (commercial invoices, packing lists, certificates, permits, etc.) is accurate and complete.
* Monitor import timelines, shipping costs, and potential risks or delays, proactively resolving issues as they arise.

Qualifications/Training

• Bachelor’s degree in Business Administration, Supply Chain Management, Finance, or a related field.

Experience / Knowledge

• Proven experience in purchasing, procurement, or supply chain management (experience in an educational institution is a plus).
